Job Summary


Growing healthcare staffing company needs full-time Administrative Assistant in Raleigh, NC (near Wake Forest, NC).

Initial interview will be by telephone. Any additional interview(s) will be scheduled in our office. Nationalhcs follows all guidelines for the health and safety of our personnel.

This position provides ongoing support to all Staff and Management. Duties include general clerical, receptionist, assisting with weekly payroll, and project-based work. This position performs a wide array of tasks that can change daily. This position provides Quality Assurance to assure all HCPs’ files adhere to the Nationalhcs Operations Manual, client facilities’ checklist requirements, and The Joint Commission (TJC) standards. This position will process onboarding paperwork to assure accuracy prior to submission to the client. This position will work closely with healthcare professionals on an ongoing basis. This position will participate in recruiting all disciplines of healthcare professionals.

  • At hire: 7:00am-3:30pm M-Th and 7:00am-1:00pm Fri
  • After 90 days: 8:30am-5:00pm M-Th and 8:30-3:00pm Fri
  • Must participate in On-call rotation (weekly and some weekends/holidays - rotates throughout office)

Must be a TEAM player, possess quality workmanship and administrative skills, and strive for excellence. We are very active in our daily operation and Candidate must be able to switch tasks at a moment's notice. Confidentiality is crucial to this role. Outstanding written and verbal communication skills, strong computer skills, and attention to detail are equally important.

Description of Work

  • Process onboarding paperwork (e.g., criminal background checks, drug testing, immunizations, certification/license compliance, confirmation of references) and assure the accuracy of candidate profiles prior to submission to clients
  • Input/Output/Confirm data using Nationalhcs Database (e.g., HCP information, availability, scheduling, client information, generate reports).
  • Assist in assuring all HCPs’ files adhere to Nationalhcs Operations Manual, client facilities’ checklist requirements, and The Joint Commission (TJC) standards.
  • Perform general clerical duties to include (e.g., photocopying, faxing, mailing, correspondence, filing).
  • Work closely with HCPs regarding the availability and scheduling of client facilities.
  • Learn the process and assist with the recruitment of HCPs.
  • Support management and staff in administrative and assigned project-based work.
  • Work with HCPs in the administration of annual testing and documentation.
  • Assist with gathering marketing and conference data.
  • Participate in On-call rotation.


  • Bachelor's degree or equivalent industry related experience will be considered
  • Minimum 2 years of administrative experience in an executive office environment
  • Proficiency in Microsoft Office 365 SharePoint
  • Will learn company-specific software to perform job duties
  • Ability to multi-task and adjust to changing priorities in a fast-paced environment
  • Must be detail-oriented, very organized, and have good time management skills
  • Must be pro-active and require little supervision
  • Communicate professionally, both written and verbally, with internal and external parties
  • Ability to work in a small office environment
  • Answer telephones and route calls accordingly
  • Professionally make calls to healthcare professionals for needed information
  • Resolve routine healthcare professional and client inquiries
  • Handle sensitive information and confidential business matters
  • Enter confidential information into the company database
  • Assist with payroll, healthcare professional scheduling, and filing
  • Participate in On-call rotation (weekly and some weekends/holidays - rotates throughout office)
  • Perform additional job-related duties as requested
